Who we are
What we collect and why
- Account data — email, gamer tag, name, country, password (hashed), avatar: to create and run your account (legal basis: contract).
- Date of birth — collected once at signup, used only to check eligibility (13+ to register; 18+ for cash-prize tournaments). Your age is never displayed anywhere (legal basis: legal obligation / legitimate interests in child safety).
- Tournament and match data — entries, fixtures, scores, results, standings: to run competitions (contract).
- Chat messages and attachments — match rooms, payout threads, and direct messages: to let you coordinate matches and resolve disputes (contract; safety processing under legitimate interests).
- Payout records and payment-proof images — to record that organisers paid the prizes they promised, and to resolve disputes (contract / legitimate interests in fraud prevention).
- Notifications and emails — service messages about your tournaments and account (contract).
- Newsletter — if you sign up in the footer, we store your email to send kiing.gg news. We only email you after you click the confirmation link (double opt-in), and every email includes a one-click unsubscribe (consent).
Chat monitoring — what you should know
Match rooms are shared spaces: both players and the tournament organiser (and co-admins) can read them. That is how disputes get settled. Direct messages are private — organisers cannot read them.
To protect players from payment scams, our systems automatically scan message text for signs of off-platform contact or payment attempts (for example phone numbers or "pay me on WhatsApp"). Flagged messages are reviewed by kiing.gg staff — never by tournament organisers in private messages. No automated decision is taken against you without human review.
You can report any message — or an organiser — to kiing.gg staff from inside the chat. Image attachments are not available in direct messages.
How long we keep your data
- Account data — while your account is active, then deleted or anonymised within 12 months of account deletion.
- Chat messages — up to 24 months after the related tournament ends (or after the conversation's last activity for direct messages), unless part of an open dispute or flagged for review.
- Payout records and payment-proof images — up to 6 years, matching the period in which payment disputes can give rise to legal claims (Limitation Act 1980).
- Moderation and audit records — up to 6 years where connected to a dispute, report, or enforcement action.
Residual copies may persist in routine backups until those age out on the normal cycle, during which they are put beyond use.
